A leading property management company situated at Canada, provides well established Rental & Properties serving UWO students in London, Ontario. 

They offer affordable student housing in convenient locations while providing superior customer service to the tenants. Their premium off-campus student rental properties are professionally managed and regarded as some of the most desirable rentals available. 

CHALLENGES

One of their core internal processes are monthly bill collection, utility bill verification, and new vendor registration. 

The most challenging part was a team of 5 employees has to manually feed the data from 900 emails approx. consisting rental transaction information in Propertyware, a rental property management software. And, a few rental transactions happen through Rentmoola (A rent collection software) which needs to be updated too. This process was tedious and time-consuming.

Digital Leaf’s RPA’s experts analyzed the process, its variations, and the data inputs to develop an automation solution to retrieve data from the emails/receipts and to update the data in the CRM as per the verification formats and streamlined those processes in place for much better efficiency. 

Our automation solution ran 24X7, scanning the mailbox for any new customer registration/bill collection, and it updated the data during reconciliation. This brought down the handling time from 60 hours to 4 hours where the efficiency of the process has been increased by 300%. 

As a result, the company has restructured 75% of their human resources to optimize their business by focusing on customer relations and business development.
